Who this policy covers

This Privacy Policy describes how Apex Insurance Inc. ("Apex," "we," "us") collects, uses, and protects information through Apex Connect, our producer application and broker portal. It applies to prospective producers who submit an application, and to brokers and staff who use the portal.

Information we collect

We collect the following categories of information, depending on how you interact with us:

  • Application information — name, email, phone number, license state, years of experience, lines of business, and how you heard about us, submitted through our producer application.
  • Account and profile information — your name, email, phone number, and portal account details once you become a broker.
  • Insurance licensing and credential information — license numbers, states, and expiration dates, and E&O (errors and omissions) policy information and expiration dates.
  • Uploaded documents — copies of insurance licenses, E&O certificates, and similar credential documents you upload to the portal.
  • Producer Agreement and W-9 information — when a Producer Agreement or W-9 is sent to you for electronic signature, we and our e-signature provider process the information needed to complete that signing process, including the signed document and an audit record of the signing event.
  • Business contact and client information — information about your own clients and prospects that you enter into the portal to manage your book of business. This is information you control as a producer, and we process it on your behalf to provide the portal.
  • Communications — records of messages we exchange with you about your application, onboarding, or account.
  • Authentication, session, and technical information — information needed to sign you in and keep your session secure. Our hosting and authentication infrastructure may log standard technical details (such as IP address, device, and browser type) as part of ordinary security and system operation.

How we use information

We use the information above to:

  • Evaluate producer applications and determine eligibility to join Apex.
  • Administer the producer relationship, including onboarding, licensing verification, and activation.
  • Provide, maintain, and improve the portal's functionality.
  • Communicate with you about your application, account, or the services described here.
  • Protect the security and integrity of the portal and its users.
  • Meet legal, tax, licensing, and regulatory obligations.
  • Support other legitimate business operations, such as recordkeeping and internal reporting.

Service providers

We share information with service providers who perform functions on our behalf, limited to what each provider needs to perform its function. These categories currently include:

  • Hosting and database providers, who store portal data and host the application.
  • Authentication providers, who manage account sign-in and session security.
  • Email delivery providers, who send account and application-related notifications on our behalf.
  • Electronic-signature providers, who facilitate signing and storage of the Producer Agreement and W-9.
  • Secure document storage providers, who store uploaded credential documents and completed signed documents.

If enabled, Apex may use analytics or advertising technologies to understand the effectiveness of its public-facing services and marketing. Apex will provide any notices, choices, or consent mechanisms required before activating those technologies. See Cookies & Technology below for what is active today.

We do not sell personal information. We disclose information to third parties only as described in this policy, to carriers and partners as needed to place and service business, or where required by law.

Retention

We retain information for as long as reasonably necessary to operate the portal, administer the producer relationship, and satisfy our operational, contractual, tax, legal, compliance, security, and dispute-resolution needs. Retention periods vary by the type of information — for example, licensing and tax-related records may be kept longer than routine application data to meet recordkeeping obligations. We do not keep information indefinitely without reason.

Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information from unauthorized access, use, or disclosure — including access controls that limit who can view sensitive records, and private, non-public storage for uploaded documents and signed agreements. No method of storage or transmission is completely secure, and we cannot guarantee absolute security.

Your privacy choices

Depending on where you live and applicable law, you may have rights to access, correct, or request deletion of your personal information, or to object to or restrict certain processing. To make a request, contact us at service@apexii.net. We will respond consistent with applicable law. Some information — such as records we are required to keep for tax, licensing, or legal reasons — may not be eligible for deletion while those obligations apply.

Children's privacy

Apex Connect is intended for licensed insurance producers, prospective producers, and business staff. It is not directed to children, and we do not knowingly collect information from children.

External links

The portal may link to third-party websites or tools, including carrier and industry resources. We are not responsible for the privacy practices of those third parties, and we encourage you to review their own policies.

Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. We will revise the effective date above when we do. If we make a material change, we will provide appropriate notice or seek acceptance as required by law or as described in our Terms of Use.

Governing law

This policy is governed by the laws of the State of Colorado, without regard to conflict-of-law principles, except that nothing here overrides any non-waivable privacy right you may have under the law of your own jurisdiction.

Cookies & technology

What Apex Connect currently uses

Essential (always active). Apex Connect uses strictly necessary technology — primarily authentication session storage — to sign you in, keep your session secure, and let the portal function. This technology cannot be disabled without breaking the ability to sign in, so we do not offer a choice to decline it.

Analytics. Not currently active. We do not use any analytics or usage-tracking technology today.

Advertising. Not currently active. We do not use any advertising or marketing-measurement technology today.

If Apex activates analytics or advertising technology in the future, this section will be updated to name the specific provider, its purpose, and any choice available to you, and a "Privacy choices" control will appear wherever this notice is shown.
